Rebates Coordinator


Position Summary:

The Rebates Coordinator has varied responsibilities related to the organization, implementation and communication of all WNA customer programs.  The Coordinator will work closely with the Pricing and Programs team to develop and enhance all aspects of WNA’s pricing and programs in a matter consistent with corporate objectives and the WNA philosophy.

Essential Functions & Key Responsibilities:

  • Augmenting the Accounting Department’s efforts in researching, auditing and assisting in the resolution of customer deductions.
  • Running monthly, quarterly and annual CJD reports, as well as “ad hoc” sales & rebate reports as business requirements dictate.
  • Organizing all program documentation & information in a clear, concise, methodical manner.  This documentation includes CJD payment & back up information, end-user special quotations, customer agreement letters and various other documents related to WNA customer programs.
  • Researching inquiries from customers and WNA personnel and communicating the required information back accurately and in a timely manner.  
  • Updating trackers, Smart Sheet and accrual files to ensure accurate and timely internal and external communication.
  • Drafting and tracking Program Contract letters for legal review and presentation to customers.
  • Processing check, credit memo and ACH transfer requests through approval hierarchy.
  • Downloading and sending payment back up in a timely manner to customers.
  • Communicating accruals and payment status on a regular cadence with Finance department.
  • Working closely with Programs Analyst to ensure timely and accurate payment of all rebate programs per terms of our agreements.
  • Auditing, calculating and administering and processing monthly, quarterly and annual rebate and marketing fund programs.
  • Formatting and communicating FSM data files to Credit Department for timely entry of phantom credits.
  • Data entry, filing, and various administrative duties and special projects as business needs dictate.
  • Occasional/limited travel may be required.

Candidate Requirements:

  • Minimum Associate’s degree in business related field, a Bachelor’s Degree is a strong plus.
  • Experience in a manufacturing organization and/or similar work experience preferred. 
  • Must be highly proficient in the use of key Microsoft Office applications, including Excel, Word & Outlook. 
  • Must know, or be able to learn, how to run reports and inquiries out of the mainframe system.
  • Knowledge of Smart Sheet as well as Access or other database management tools is a plus.
  • The person selected for this position must be methodical, organized, attentive to detail, results-oriented and able to handle multiple tasks at once. 
  • The person must be very flexible and adaptable to change.
  • Strong written and verbal communication skills are critical.
  • The person must possess a strong desire to succeed and should be team oriented.
