Accounts Coordinator - Graphics


Position Summary:

Accounts Coordinator’s primary responsibilities include;

Processing of customer art files through internal processes and external source partners working closely with Sales, Customer Service, Production, Vendors and other Graphics employees. Providing complete specifications & instructions in Art Portal.  Proof-reading and checking finished art files to original customer art files, manufacturing specifications and instructions. Completing production job packets, ordering printing plates, and archival of finished files. Ordering ink color swatches on the paper to be used for the order and sending the ink color swatches, pdf, proofs or mock-up bags to the customer for final approval to produce orders. Prepare Art files for customers mock-up bag sample, printing ink jet samples, hand assembly of mock-up bag samples. Maintain and update CAD drawings (using Illustrator) of all bag size templates and archival of all bag templates. Production of Art for special label formats. This is not a Graphic Designer position.  The duties of this role are more closely aligned with a customer service representative, with opportunities to manager graphic orders on our products.


The ideal candidate for this position must possess excellent written, verbal and proof-reading skills, advanced proficiency computer skills on Mac Platform using Adobe Illustrator software, knowledge and experience in preparing production Art files. Basic knowledge of PC Adobe Reader and Microsoft Office Programs. Experience in use and maintenance of large format Ink Jet Printer for proofing.


Essential Functions & Key Responsibilities:

  • Candidate must possess an excellent attitude for Safety First and Always in the workplace, review and follow all company policies and procedures.
  • Coordinate and process Art Orders and instruction to sourced supplier of Production Art files and PDF proofs for new and revised bag designs.
  • Comprehend, train and learn the variables in specifications used for production of Art files to print commercial, fast food, shopping & retail bag designs.
  • Accuracy is essential in checking and proof-reading instructions to information or instructions as received from Customers, Customer Service and Art Orders.
  • Good working knowledge in applying required print specifications strokes, trap weights, mitered edges on traps, font knowledge and use, layering colors in files for production.
  • Excellent Service skills and attitude working closely with Source Suppliers, Production, Graphics Employees, Customer Service, Sales and Customers directly, both verbally or through email.
  • Preparation of Ink Card, Specification Sheet/Print Card, Job Packets for all Manufacturing facilities.
  • Final proof-read and check of finished files and pdfs then sending ink swatches, pdfs Art/Plate charges and approval letter to the Customer for final approval. Once approved order plates in the Art Portal.
  • Review Art Orders, approvals daily. Process prioritizing by due dates.
  • Archival and maintenance of files, pdfs, spec. sheets/print cards. 
  • Prepare special label master art as needed.
  • Creating, printing and hand assembly of mock-up bags.
  • Equipment care and maintenance.
  • Filing, physical and electronic.

Candidate Requirements:


  • 2 year degree in Graphic Arts Program or equivalent work-related experience in Corporate or Professional setting preferred.
  • Must be able to work under tight deadlines, multi-task, propose ideas and solve problems creatively. 
  • Experience in customer service, account management or order entry. 
  • Ability to learn quickly and comprehend manufacturing specifications and production art guidelines as related to bag design.
  • Must be able to work independently with minimal supervision after training is completed.
